Challenge

As the firm grew and new professionals joined, its office tools and email were being used intensively but inconsistently.

The Microsoft 365 environment (tenant, licenses, onboarding and offboarding, access) was managed reactively, with limited visibility into which licenses were actually in use and frequent incidents involving email, syncing, and document access.

The firm's management wanted to:

  • Bring order and governance to its Microsoft 365 environment.
  • Reduce the disruption caused by office software issues.
  • Rely on responsive, professional support that would free up the in-house team to focus on legal work.

Solution

The project was organized into three main workstreams:

1. Assessment of the Microsoft 365 environment

  • Inventory of existing licenses and analysis of their use by user profile.
  • Tenant review: basic structure, groups, storage, and main access policies.

2. Redesign of the licensing and governance model

  • A target licensing scheme by role (partners, associates, support staff).
  • Reassignment of licenses to remove redundancies and match capabilities to real needs.
  • Simple governance guidelines: how to handle onboarding and offboarding, access to shared mailboxes, storage, and document sharing.

3. Recurring office and email support

  • A support channel for Outlook incidents, syncing problems, access issues, and office tools.
  • Defined response and resolution times, escalation paths, and incident logging to identify patterns.
  • End-user guidance through short training sessions and best practices for using Microsoft 365.

Certain technical details have been adapted or omitted to comply with NDAs and information security policies.

Results

Fewer incidents and greater business continuity

  • An estimated 30–40% drop in email and office software incidents, with fewer interruptions to the lawyers' work.
  • Availability of key tools (email, Office, storage) above 99.5%.

Optimized license costs

  • A right-sized license pool, with estimated savings of around 10–15% and no loss of functionality.
  • Tighter control over user onboarding and offboarding, avoiding underused licenses.

More clarity and control for management

  • A consolidated view of the Microsoft 365 environment that supports decisions on growth, hiring, and strengthening the team.
  • Less time spent by partners and in-house staff on technical problems, which translates into higher-value hours for the end client.

A stronger technology foundation for growth

  • A structured productivity and collaboration environment, ready to support the firm's growth and new digital initiatives.
