Project management and financial control unified on Odoo for an architecture studio

Estudio Nácar implemented a solution that unifies the studio's project management and financial control. The team now has a single platform that increases operational efficiency, makes time and costs easier to trace, and strengthens the profitability of each project.

Challenge

The studio's main challenge was to optimize project management and invoicing control, two areas critical to ensuring efficiency, traceability, and profitability in its day-to-day operations.

Before the project, task coordination, resource allocation, and financial tracking were spread across different tools, which limited overall visibility into the progress and costs of each project. The studio saw a clear opportunity to add structure, professionalize its operations, and support its growth. The challenges included the need to:

  • Centralize planning and tracking across each project's life cycle.
  • Improve the traceability of time, progress, and workloads.
  • Gain real visibility into the profitability and costs of each build.
  • Automate administrative processes to devote more time to design and technical delivery.

From the outset, the Estudio Nácar team showed a strong commitment to continuous improvement and to digital tools that would raise its operational quality.

Solution

The solution was built around implementing Odoo as a unified platform for the studio's operational and financial management. The project was carried out in phases: assessment of the current process and definition of the target workflows, functional design, configuration in a cloud environment, training, and a gradual go-live.

  • Project management: the Project module was configured to structure builds into phases and tasks, assign owners, and log time. Timeline views and custom boards make it easier to monitor progress and visualize workload.
  • Financial control and invoicing: the Invoicing module made it possible to issue and record invoices, link costs to tasks, and see the profitability of each project. Administrative workflows that previously required manual intervention were automated.
  • Centralization and adoption: the team was supported through the transition to a centralized model, ensuring adoption, consistent use, and uniform tracking and control criteria.

Results

  • All operational and financial information fully centralized on a single platform.
  • An estimated 20–30% improvement in administrative efficiency through automated invoicing and tracking.
  • Greater traceability of the work done, with more accurate time and progress records.
  • Clear visibility into profitability by project, supporting management and prioritization decisions.
  • The capacity to manage more projects at once with tighter control of deadlines, resources, and budgets.
  • Lower risk of manual errors and less time spent on administrative tasks, allowing the team to focus on architectural design and delivery.
