E-invoicing and Verifactu compliance with Odoo Online for a boutique coaching practice
A cloud solution based on Odoo Online (version 18) to manage the practice's electronic invoicing in one place and meet Spain's new Verifactu requirements, with less administrative work and tighter control over invoicing and collections.
Challenge
As an independent professional with international activity who works with multiple organizations and business schools, Myriam was handling a growing volume of invoicing, with different types of services (individual coaching, team coaching, training, change consulting, certified programs, etc.) and specific terms depending on the client and country.
Spain's new electronic invoicing regulations and the associated Verifactu requirements made it necessary to move from more manual processes and scattered tools (spreadsheets, office templates, different record-keeping systems) to more integrated, secure, and traceable management. The main challenge was to:
- Minimize the time spent on invoicing and reporting admin, freeing up her schedule for higher-value activities (coaching engagements, project design, client relationships).
- Ensure compliance with electronic invoicing and Verifactu rules, reducing the risk of formal errors and of errors in reporting to the tax authorities.
- Keep a clear view of revenue, collection status, and the client portfolio, with the ability to segment by service type, country, and channel.
All of this while preserving the agility of a boutique practice and without losing the close relationship with her clients.
Solution
The project took a pragmatic approach, aimed at maximizing value with a lightweight but well-designed implementation:
1. Process and requirements assessment
- Mapping of invoicing processes, service types, and common scenarios (recurring projects, long programs, session packages, collaborations with third parties).
- Identification of regulatory requirements for electronic invoicing and Verifactu, as well as management reporting needs (revenue by service line, collection forecasts, etc.).
2. Functional design in Odoo Online
- High-level configuration of the cloud management platform (Odoo Online v18) to support invoice generation, the move to electronic invoicing, and integration with the Verifactu framework.
- Definition of standard product and service templates (individual coaching, team coaching, in-company training, certified programs, etc.) to simplify document creation.
- Design of the basic workflows: issuing invoices, recording payments, and handling incidents and adjustments.
3. Implementation and testing
- Configuration of the solution in the online environment, including client and service master data.
- Testing of electronic invoice generation and validation of the records required for Verifactu compliance.
- Fine-tuning of templates, fields, and basic automations (for example, numbering and tax rules).
4. Training and adoption
- A hands-on training session focused on Myriam's real cases: individual coaching projects, team programs, and invoicing to business schools and consulting firms.
- A simplified user guide to ensure autonomy in day-to-day operations and basic reporting tasks.
The approach was designed to minimize technical complexity and ensure rapid adoption, prioritizing reliable compliance and administrative efficiency. Certain technical details have been adapted or omitted to comply with NDAs and information security policies.
Results
- Less administrative work: the time spent on invoicing and administrative follow-up is estimated to have fallen by around 30–40%, allowing Myriam to devote more hours to her core coaching, consulting, and training work.
- Stronger regulatory compliance: electronic invoicing integrated with Verifactu requirements significantly reduces the risk of formal errors and improves traceability in the face of the tax authorities' demands.
- Greater business visibility: a structured view of revenue by service type, client, and collaboration channel, supporting decisions on commercial focus, service design, and schedule planning.
- Better collections and liquidity management: centralized control of invoice and payment status helps reduce late payments and anticipate cash needs, with an estimated improvement in average collection times of around 10–15%.
- Scalability for growth: the cloud solution provides a solid foundation for handling a larger volume of clients, projects, and international collaborations without a proportional increase in administrative effort.
Overall, implementing Odoo Online for electronic invoicing and Verifactu has enabled Myriam Camps to professionalize and secure a critical area of her business—financial management and regulatory compliance—while keeping the flexibility and client focus of a high-value-added practice.
